General FAQs

How do I submit material to the institutional repository (IRep)?
All staff are asked to send in details of new publications on a regular basis, using either the templates provided, or by emailing full details to the NTU IRep mailbox. Amendments to existing records can also be emailed to the same mailbox. If you are able provide us with the object as well as its details, you can include the electronic copy at the same time and we will add an open access version to IRep.

What is Open Access?
Open Access enables research to be made freely available over the internet. This can be by publishing in full-text free journals and / or allowing access via repositories such as IRep.

Why make your work available via Open Access?

  • Raises your research profile
  • Free and easier access to scholarly publications
  • Increased readership
  • Increased citations
  • Funding bodies may require publication in certain repositories

More details on the benefits and impact of open access can be found in the briefing paper written by RLUK.

What do I need to provide for IRep?
If you want the full text of your work to be accessed via IRep, you will need - depending on publishers’ copyright requirements - to provide a:

  • Pre-print - draft of an academic article or other publication before it has been submitted for peer-review
  • Post-print - final version of an academic article or other publication after it has been peer reviewed and / or revised into its final form by the author
  • Final article
  • Author-directed web link

RoMEO provides information on what is required, though LLR will help ascertain this. More advice is available from your Liaison Librarian, but if you are able provide us with the object as well as its details, you can include the electronic copy at the same time.

Can I request a delay in material appearing in IRep?
Yes, IRep software can manage requested delays in making full text material (in any format) available. However, we would not normally delay the release of the basic metadata record for such items. If your work has been formally published we would want to make the full text available as soon as the publishers' allow us to do so. With unpublished works such as theses if you have negotiated a period of confidentiality for commercial or legal reasons we will respect that agreement.

Further Support
Your Liaison Librarian can offer you advice on how to:

  • find out about publishers’ policies
  • deposit your research in IRep
  • source Open Access journals
  • identify sources with guidance on charges.

You can also use our feedback form, if you have any comments about IRep.
