Toolkit for help, support and useful information while staying in NTU halls of residence.

Part of what makes the student experience so meaningful is knowing you’re never on your own. We’re sure you are going to have the time of your life whilst living in halls but wanted to let you know about all the support NTU offers just in case you need it.

StudentHub is a fantastic resource you use to find links to all NTU’s student help, support and advice services. Below we’ve provided links to what we think are some of the most important bits you might need while you’re living in halls.

We've also included some information on this page that we think is really useful, such as the guest policy, what to do if you have a maintenance issue, and how to check out at the end of your time in halls (amongst other things).

Student Accommodation Support Officers

The University has a dedicated team of Student Accommodation Support Officers (SASOs).

SASOs can help you:

  • settle into halls and make friends
  • resolve disputes in your flat
  • if you are worried about your flatmates
  • to support your wellbeing & mental health
  • if you are feeling down, worried, stressed or overwhelmed
  • with any other problems that are affecting your time at University or your halls experience.

The SASO team are available 7 days per week, Monday to Friday, 9.30 am – 10 pm, and Saturday and Sunday, 1.30 pm – 10 pm.

If you need urgent help or support outside of these hours, NTU Security are always available on  0115 848 2222.

Accommodation Hub

NTU offers an accommodation service for all, and we realise that many students would rather talk to us face-to-face, especially regarding sensitive issues or situations. That’s why you can now visit us at the Accommodation Hub for more individually tailored support. We can provide guidance on:

  • anything related to student accommodation
  • bookings with NTU
  • bookings within the private sector or in PBSA
  • additional services you can access and signposting these as needed.

You can visit the Accommodation Hub at The Print Shop, Goldsmith Street, City Campus, opposite Boots Library. During term time and at busy periods, our opening hours are:

  • Monday to Thursday, 9.30 am – 12pm, 1pm – 4.30 pm
  • Friday, 9.30 am – 12 pm, 12.30 pm – 4 pm

If you need to speak to someone at times when the Hub is closed, or if you'd like to speak to someone in private, you can book an appointment here.

Who manages my NTU accommodation?

NTU managed accommodation covers Brackenhurst and College Drive. These halls are owned and managed by NTU directly.

UPP halls at NTU:

  • City halls – Blenheim, Byron, Gill Street North, Gill Street South, Hampden, The Maltings, Meridian Court, Norton Court, Simpson and Sandby
  • Clifton halls – Peverell and New Hall.

UPP manages and operates all of their halls in partnership with NTU.

Our Mansfield accommodation is managed by Purseglove Property, who is a letting agent.

You can access all of this information, as well as details of our cancellation policy and offers and rewards for returner bookings via our dedicated webpage.

Students staying in UPP halls can also access their Residence Handbook via the Home@Halls app

Licence Agreement and Proof of Residency

A copy of your Licence Agreement can be downloaded from the Accommodation Portal.

You can also download a Proof of Residency letter from the portal. This can be used by international students, or as part of your application for private accommodation.

Safety at NTU

Safe place

NTU and NTSU have worked together to launch safe and secure places on our City, Clifton and Brackenhurst campuses. The spaces are all staffed by NTU Security and Wardens. They can help you:

  • after a night out
  • if you're being followed
  • to leave a situation if you're feeling uncomfortable
  • to calm down if you're feeling anxious.

Each evening the safe place is open to any NTU student who needs support, help, or just a little time out. We're here for you, so come and find us at the following locations.

City safe place

Open from 9 pm – 9 am. Accessed through the Goldsmith Street security entrance of the Boots library.

Clifton safe place

Open from 8 pm – 8 am. Located on the upper floor of the Pavilion in room 123A.

Brackenhurst safe place

Open from 8 pm – 8 am. Located in Pippin cottage room PCL8.

NTU Security

If you feel you or a friend need support, you can call our security team 24 hours a day, seven days a week, on 0115 848 2222. You can store the number in your phone. It's also on the back of your NTU student card.

Between 9 am and 5 pm on weekdays, you can also email the Security enquiries team or call them on 0115 848 2999.

For a medical emergency, please call 999 immediately. This way you'll receive the most effective care and potentially save someone's life. If you're unsure, call 111.

NTU Security operates 24 hours a day, seven days a week, on all our campuses.

Call 0115 848 2222 if you:

  • need any help
  • want to report that someone needs us
  • have any concerns about security on campus or in the local area.

If you need help in an NTSU venue, please speak to a member of the venue's security team or any staff member. They're there to help, and they're trained to support you.

Emergency Security Points

Emergency Security Points (ESPs) are located on City, Clifton and Brackenhurst Campuses and enable NTU students or staff to call through to our 24/7 Security Team in an emergency.

NTSU’s BoogieSafe site contains lots of helpful advice to help you socialise safely. This includes information on:

If you've run out of cash and can't get home safe, then we've got you.

As an NTU student, you can call Nottingham Cars on 0115 970 0700. Tell them you need to use the 'student emergency fare scheme'. They’ll ask for your N number, which you can find on your student ID card. They'll take you home with an agreement for you to pay at a later date.

University Warden Service

A university warden is a member of University staff who looks out for students' wellbeing while they're in halls. If someone’s having a tough time, they’ll listen, offer advice, and connect students with counselling or other support services if needed.

Wardens also have a rule enforcement role too - making sure students respect quiet hours, guest policies, safety rules, and so on. They look at the student code of behaviour, to keep things fair, and try to make sure that everyone has a good living and learning environment.

They can be contacted via NTU security out of hours 365 days of the year. You can also ask for them at your hall reception.

Encouraging a safe and respectful environment

At the request of our students, the University has introduced workshops around consent.

Consent is Everything workshops have been included in the timetables of all first year undergraduates.

Talking about consent is one part of our commitment to preventing, responding to, and offering support for all incidents of sexual violence that impact our students.

Support for students with individual needs

NTU want to ensure that students are able to learn and enjoy student life whatever their personal identity or circumstances, we aim to provide information and support which meets your individual needs.

There is targeted support available across a number of different areas:

  • support for transgender students

Disability and inclusion services

The University's Disability Support Team coordinate support and access arrangements for disabled students and students with specific learning difficulties. Working with academic staff, university services and external agencies.

Student Services Centres

The Student Services Centres (SSC) at NTU offer you a wide range of support and advice and help you get the most out of University life. Find out how to get the right support when you need it.

The team are here to help you with:

  • Student card collection for new or replacement cards.
  • Enrolment support.
  • PATHway drop-in service.
  • Signposting to Student Support Services, departments and schools for support.

Customer Advisers can resolve most enquiries over the phone and via email. We strongly advise you to get in touch with the team in advance. They'll let you know if you need to visit the centre.

Specialist mental health and wellbeing support

Help and support is available for personal, emotional, or mental health difficulties.

You can get support for yourself, or for another student if you're worried about them by completing our support and wellbeing referral form.

Student Support Advisers

If you need help to get back on track with your students as a result of your personal circumstances, our Student Support Advisers can help. You can refer yourself, or someone else who needs support as long as you have their consent first. The advisers will offer advice and signposting, and can also put you in touch with other relevant teams if you need to take time out or are thinking of leaving NTU.

Student Money Team

Need help figuring out your finances during your studies?  The Student Money Team is here to help.

They offer support and guidance on:

Budgeting

Budgeting is more crucial than ever, with the cost of living currently being so high. It's good idea to spend a bit of time thinking about how much it will cost you to come to University.

We'd recommend thinking about:

  • Accommodation charges - these need to be paid at the beginning of each term in full. You may also need to factor in covering a deposit for next years accommodation.
  • Food - all of our accommodation is self-catered, so you will need to budget for providing yourself with every meal.
  • Hygiene and wellbeing costs - remember to keep some money aside for clothes, toiletries, haircuts, gym memberships, healthcare expenses such as prescriptions or dentistry charges etc
  • Course expenses and materials - some courses may have additional expenses that are not provided by the University. For instance, books, printing, art materials.
  • Socialising - a big part of coming to University is socialising and getting to know other people. You may want to join clubs or societies, or go on nights out. Leaving yourself with enough money to be able to go out and enjoy yourself or join in with social activities is really important.
  • Travel - it's a good idea to have some money to cover travel expenses. For instance, a course related trip, a visit home or a taxi after a night out.
  • Monthly outgoings - Subscriptions, mobile phone contracts, memberships, insurance policies - these are all normally paid monthly, so it's a good idea to make sure these are covered between maintenance loan payments
  • Unexpected and other costs - there are all sorts of unexpected or one-off expenses that can crop up during the course of the year. We'd recommend factoring a contingency to cover anything that might crop up.

Drawing up a monthly budget and trying to stick to it, living within your means, being honest with yourself about what sort of budget you have for the year - these are all great ways of managing your money during your studies.

Access to healthcare

Register with a GP practice

As a student living in Nottingham, you must register with a local doctor in order for you to receive treatment for any illness while you are at university. Don't wait until you feel ill or need a repeat prescription.

The University has a medical centre at our City and Clifton campus, they provide the following services:

  • appointments with a doctor, practice nurse or health care assistant
  • sexual health and contraception advice
  • new patient and general health checks

Registering with a Dentist

It is important to register with a local dentist when living in Nottingham. You can find other dentists surgeries using the NHS Service Search. You may also be eligible for discounted NHS dental charges by applying for a HC2 or HC3 form - learn more about the NHS Low Income scheme here.

Hall policies

Guests are permitted to stay overnight up to a maximum of two nights per week.

  • UPP residents are required to register their guests via the Home@Halls app.
  • NTU managed accommodation residents will need to register their guests with NTU Security.

The University has the right to refuse any visitors who is deemed to be unacceptable.

Students are responsible for their guests' behaviour whilst on campus.

It is the responsibility of all residents to keep their room and communal areas in a clean and tidy condition. Please refer to your residents hand book for more information on whether any cleaning is provided and if you will have room inspections during your stay.

You may find that the way you manage your waste and recycling is different from what your used to. There should be information provided on which bins are used for different types of waste. If you're not able to find that information or are unsure, please  speak to your hall reception or management team.

If you're not sure what to do with your bins and what cleaning will be taking place, it's best to get in touch with your hall management  team to discuss.

From time to time, tissues may occur in your accommodation that need fixing.

If you experience any maintenance issues, please report it directly to your hall management team ASAP.

  • Students that stay in UPP Halls at NTU can do this via the Home@Halls app.
  • Students staying in NTU managed accommodation can do this via the Accommodation Portal.

If you're unsure where to report your maintenance issue, it's best to start by visiting your accommodations reception or contacting Student Accommodation Services if your accommodation doesn't have a reception, SAS can then point you in the right direction.

NTU aims to create a welcoming and safe environment for all students.

By joining, you agree to the Student Charter, which outlines our commitment to providing a high-quality student experience and our expectations of your conduct. This includes treating everyone - fellow students, staff, visitors, and the local community—with respect and responsibility.

The Student Code of Behaviour applies to all students and sets out the standards of behaviour expected, procedures to follow, and potential consequences for breaches. Unacceptable behaviour, such as sexual misconduct, threatening or discriminatory actions, and criminal offences, is not tolerated. All reports are taken seriously and reviewed in accordance with the Code.

If you decide to go home for a few days or spend a bit of time away from your accommodation over a holiday or during a reading week, for instance, you should let your reception team know.

  • UPP halls at NTU residents will need to use the Home@Halls app to let the management team know they have left for the holidays or an extended period of more than a couple of days.
  • NTU managed accommodation residents should contact brackenhurstaccommodation@ntu.ac.uk if they're planning to  leave campus - this is explained within your residents handbook.

When it comes to the end of your time in halls and you need to check out, you need to make sure that your room is left clean and clear of any belongings. You can let them member of staff on reception know that you're checking out and hand your keys in as you leave.

Please note, some of the smaller accommodation may have a different process for checking out.

University is a very exciting time in life, and we are here to help you make the most of your accommodation experience. We do however understand that life is unpredictable, and circumstances can change.

The terms and condition of your contract will not allow you to cancel your booking once the cancellation deadline has passed. NTU has a process for students who wish to cancel their accommodation booking after the cancellation deadline.

You will need to submit a ‘cancellation request’ by logging into the portal and selecting "Room Cancellation" from the menu.

By submitting a cancellation request your room will become re-bookable online providing you have departed from your hall (leaving your room clean and tidy and returning the key). If a new student completes a booking of this room by collecting the keys they will take over your contract and release you from all financial liabilities from the date of key collection.

If you believe you have extenuating circumstances for your cancellation request, you can submit an appeal to be released. Release requests are judged based on 4 release criteria (see below) which must be demonstrated with supporting evidence. A release request without supporting evidence will not usually be considered. Evidence can be submitted via the portal to ensure it is handled safely and securely. Please make sure to submit your request as soon as possible as late requests will not be considered.

1. There has been a change in circumstance that happened after the cancellation deadline (which is 21 days before the start of the contract). An ongoing condition (or a return of a previous condition) that a student knew about before they started university would not normally be considered.

2. The change of circumstance is very serious. Examples might include life threatening conditions where the student is in hospital or an unexpected immediate family bereavement.

3. That where possible the University/accommodation provider has been given a reasonable chance to resolve the situation (e.g. if there was a problem in the accommodation it had been reported via appropriate channels and there had been reasonable time for a response).

4. The student has no option but to leave university completely.
